Start with one property brief
Issue every bidder the same roof map, condition timeline, documents, access limits, and requested decision. Record the date each proposal was prepared and any information supplied later. If one company inspected an attic or opened a detail while another did not, that evidence gap belongs in the table beside the price.
Create the scope rows
List measurements, removal, substrate, underlayment, covering, flashings, edges, penetrations, ventilation, drainage, equipment, protection, disposal, permits, inspections, cleanup, exclusions, payment, and warranties. Mark included, excluded, alternate, allowance, or unknown. Never treat a blank cell as included.
Resolve quantities and changes
Ask whether quantities come from field measurement, plans, imagery, or a combination, and whether they include waste and accessories. For decking, extra layers, custom metal, or unavailable products, record the evidence, unit, price method, authorization, and weather-protection pause.
Compare the accountable party
Match the legal entity to the contract, credential record when applicable, insurance evidence, permit role, invoice, and warranty. Note who inspects, supervises, performs, and closes out work. A polished estimate does not prove the identity or status of the eventual contractor.
Put the roof question into words
Have the property type, safe observation, date, and existing records ready. Ask the recipient to identify the company and confirm whether the address and roof concern fit its work.
