Frame the condition
Define every roof area, including garages, additions, porches, low-slope sections, dormers, and transitions. Record the measurement source and whether quantity includes waste, laps, starter, hips, ridges, valleys, or accessories. Ask each bidder to use the same building brief. An aerial quantity, plan quantity, and field quantity can differ without any party necessarily making the same assumptions.
Preserve useful evidence
Gather prior permits, product records, repair history, warranty correspondence, attic or interior observations, safe exterior photographs, and known solar or equipment attachments. Mark missing facts. An estimated installation year or guessed layer count can distort disposal, decking, ventilation, and warranty discussions. Let the proposal identify which facts require field verification or become known only after tear-off.
Read the assembly
Compare the complete assembly: removal, substrate preparation, deck criteria, underlayment, leak-barrier locations, field covering, starter, ridge or hip treatment, valleys, walls, edges, penetrations, ventilation, and drainage. Product brand and color do not resolve those details. Each retained or replaced junction should be visible in the scope, particularly where steep and low-slope areas meet.
Compare the proposed boundary
Ask whether all coverings are removed, what stays, where the boundary meets neighboring or shared property, and how the building is made weather-tight each day. Include access, fall protection responsibility, landscaping, siding, windows, paving, interior vibration, dust, debris, nails, deliveries, and occupied-space communication. A fast installation claim is not a substitute for a weather and protection plan.
Resolve allowances
Deck replacement needs a clear material description, thickness or matching basis, unit, measurement, evidence, and approval method. Extra layers, wet insulation, custom metal, concealed curb conditions, or discontinued accessories need similar rules. Set a spending authority and contact path before opening. If no authorized person is available, the contract should say how the area is protected while a decision waits.
Coordinate other work
Coordinate solar removal, electrical penetrations, chimneys, siding, masonry, HVAC curbs, skylights, antennas, and drainage with the qualified party responsible for each. Decide who schedules the interface, who documents it before concealment, and whose warranty covers the connection. The roofing company should not silently absorb another trade decision, and another trade should not authorize roof work outside its agreement.
Ask before authorization
Confirm the legal contracting entity, supervisor, workforce relationship, license status when applicable, insurance evidence requested by the property, permit applicant, inspection path, payment schedule, lien documents, substitution rule, change process, and warranty issuers. Ask for product line and accessory compatibility in writing. A sample board, sales packet, or manufacturer logo does not itself establish an installed system or credential.
Keep the closeout useful
Closeout should include the final roof map, signed scope, approved changes, permit and inspection records when required, product identifiers, photographs before concealed details were covered, disposal and cleanup confirmation, warranties, maintenance guidance, and open items. Reconcile quantities and payments. Keep evidence of any excluded interior restoration, masonry, mechanical, solar, or drainage work with a named follow-up owner.
Comparison decision
The final selection should name why replacement is preferred over repair, the roof zones included, and every area that remains. Compare how each proposal handles rain during tear-off, an unavailable decision maker, changed decking, other trades, and a failed inspection or delayed material. Those operational details can affect the building as much as the visible product. Keep alternates until product, color, assembly, and price are aligned, then attach the accepted version to the contract so an earlier sales draft cannot become the field instruction.
