Frame the condition
Record the exact room and surface, first discovery, weather, duration, spread direction, odor, sound, nearby plumbing or mechanical equipment, and earlier incidents. Ask what would confirm the proposed path, what evidence would disprove it, what the repair changes, how success will be observed, and how long or under which weather it should be monitored. Confirm the company, inspection deliverable, visit charge, repair price method, exclusions, access, and written terms. Avoid a proposal that promises leak-free results without defining the actual area and limitations.
Keep the closeout useful
Keep the original timeline, roof and room maps, inspection report, photographs, test notes, repair scope, opened-condition evidence, changes, product record, and monitoring log. If the symptom returns, add the new date and weather rather than replacing the first record. A continuous sequence is more useful than disconnected photographs with no location or purpose.
Comparison decision
A leak investigation can finish with ranked possibilities rather than one certain path. That is useful when the report explains what was ruled in, what was ruled out, and which next observation would change the conclusion. Compare whether a proposed repair is corrective, investigative, or preventive, and do not merge those purposes. If follow-up depends on a particular rain direction or equipment cycle, record the condition and who will observe it. The owner should not have to repeat the entire history when the provider returns after the next relevant event.
