Before signature
Keep the property brief, inspection evidence, compared proposals, exact contracting entity, credentials checked when applicable, insurance evidence requested by the property, work description, materials, quantities, price, payment, schedule, protection, permits, inspections, exclusions, changes, and warranty sources.
During opening and installation
Record roof-zone photographs, removed layers, substrate findings, decking decisions, underlayment, flashings before concealment, penetrations, ventilation, drainage, delivered product identifiers, weather interruptions, daily protection, and authorized changes. Keep each record dated and attributed.
At payment and closeout
Reconcile the final scope, quantities, allowances, changes, invoices, payment records, lien documents as applicable, permit and inspection completion, cleanup, warranties, registration, maintenance guidance, and open items. Do not sign a completion acknowledgment before understanding any exception.
For future service
Store the roof plan, repair coordinates, material details, photographs, responsible parties, warranty issuers, access rules, solar or equipment interfaces, drainage routes, and remaining interior or other-trade work. Protect resident, security, and claim information in any copy shared with a new bidder.
